Break work down: subtasks and recurring projects

Split any project into a checklist of subtasks with their own owners and due dates, set recurrence for repeating formats, and delegate steps to Astrono.

A video is never one task. There is the script, the shoot, the edit, the thumbnail, the caption. Subtasks let you break a project into that real checklist, and recurring projects rebuild the checklist automatically for formats you ship again and again.

Add subtasks

Open any project and add subtasks — a checklist of the smaller to-dos that make up the work. Each subtask has:

  • Its own assignee, so every step has a clear owner.
  • Its own due date, independent of the project's deadline.
  • Its own completion state, checked off as it gets done.

Anything past its due date gets flagged, so an overdue step never slips by quietly while the project as a whole still looks on track.

Recurring projects

Some content repeats: a weekly upload, a monthly recap, a daily short. Instead of recreating the same project every time, set a recurrence rule on it. Soontra regenerates the project on your schedule, so the next round is already waiting on your board when it is time to start again.

Assign subtasks to teammates or Astrono

Subtasks are how a team splits one piece of content. Assign the script to your writer and the edit to your editor, and each person sees exactly which steps are theirs.

Astrono can be assigned subtasks too. Hand it the step it is suited for — and because it lives in the same workspace, it works with the project's actual description, files, and comments rather than starting from a blank chat. See Astrono in comments and projects for how to work with it inside a project.

Track completion

Check subtasks off as they finish, and the project shows its progress at a glance. Completed steps stay visible in the checklist, so the record of who did what is preserved, and task completions appear in the project's running history feed alongside status changes and comments.

When every box is checked, drag the card to its next stage — the flow in create and track projects takes over from there.
